2. About this privacy policy

This privacy policy describes how and for what purposes we process the personal data of visitors to our website and of people who contact us.

The policy applies only to the processing of personal data of natural persons. We may update it from time to time by publishing the latest version on this page.

Personal data is any information relating to an identified or identifiable natural person.

3. Contact form submissions (Forminit)

When you use our contact form, the data you provide (first name, last name, email address, selected topic and message) is transmitted to and stored by our form-processing provider Forminit, which acts as our data processor.

We use this data solely to review your enquiry and respond to you.

The legal basis for processing is your consent, given when you voluntarily submit the form, as well as our legitimate interest in responding to enquiries we receive (Article 6(1)(a) and (f) of the General Data Protection Regulation).

4. Website analytics (Google Analytics)

With your consent, we use Google Analytics 4 to understand how visitors use the site and to improve its content. This uses cookies (for example _ga, _gid, _gat).

Analytics is loaded only after you give consent in the cookie banner. If you do not give consent or choose essential cookies only, Google Analytics is not activated.

The legal basis for processing is your consent (Article 6(1)(a) of the General Data Protection Regulation). You can withdraw your consent at any time by changing your cookie settings.

5. Cookies and consent

Essential cookies are always on, because they are required for the basic operation of the website.

Analytics cookies are used only with your consent. Cookie choices are managed by a banner built on the vanilla-cookieconsent solution.

You can change or withdraw your choice at any time by opening the cookie settings on the website.

6. Recipients and processors

Where necessary, your data may be accessed by:

  • Forminit — processing and storage of contact form data on our behalf.
  • Google (Google Analytics) — providing anonymised website usage statistics, if you have given consent.
  • Our authorised members or volunteers who need the data to perform their duties.
  • Public authorities in cases provided for by law.

7. Transfers outside the EU/EEA

We aim to process your data within the European Union (EU) and the European Economic Area (EEA). However, some service providers, such as Google, may also process data outside the EEA (including in the United States).

In such cases, transfers are based on a European Commission adequacy decision or on standard contractual clauses that guarantee an appropriate level of data protection.

8. Retention period

We keep contact form data for as long as necessary to handle your enquiry and any reasonable follow-up correspondence, after which we delete it, unless the law requires a different retention period.

Analytics data is retained in accordance with the retention periods set by Google Analytics.

When personal data is no longer needed, we delete or irreversibly anonymise it.

9. Your rights

Under data protection law you have the following rights:

  • Access your personal data and receive information about its processing.
  • Request rectification of inaccurate data.
  • Request erasure (“the right to be forgotten”), as far as the law allows.
  • Request restriction of processing.
  • Object to processing based on legitimate interests.
  • Receive your data in a structured format and have it ported (data portability).
  • Withdraw your consent at any time where processing is based on consent.

When we receive your request, we may ask for additional information to confirm your identity, in order to protect your data.

11. Lodging a complaint

If you believe that the processing of your personal data does not comply with the law, you have the right to lodge a complaint with the supervisory authority:

12. Data security

We implement appropriate technical and organisational measures to protect your personal data from unauthorised access, accidental loss, disclosure or destruction.

We reserve the right to update this privacy policy from time to time. The current version is always available on this page, with the date of the last update indicated.

14. Applicable law

Personal data is processed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (General Data Protection Regulation, GDPR) and the Personal Data Processing Law of the Republic of Latvia (Fizisko personu datu apstrādes likums).
